Privacy Notice
Your privacy matters. This notice explains how I use personal information when you visit my website, contact me or work with me through coaching, facilitation and development programmes.
Who is responsible for your information?
Iyare Umweni is the data controller for the personal information described in this notice. Services offered through iyareumweni.com are provided by Iyare Umweni personally. This notice also covers the website’s staging version.
For privacy questions, requests or complaints, email contact@iyareumweni.com.
What information do I collect?
- Enquiries: your name, email address, optional organisation, topic, message and subsequent correspondence.
- Coaching and programme arrangements: contact details, agreed objectives, appointments, agreements, relevant working notes and correspondence. Where an organisation arranges your participation, it may provide your name, role and business contact details.
- Payments and administration: billing details, invoices and payment or transaction records where you purchase services.
- Marketing preferences: whether you opted in, what you agreed to, when and how, and any subsequent withdrawal.
- Website operation: IP address, browser or device details and security logs processed by hosting services. See the Cookie Policy for storage and access technologies.
Emailing me instead of completing the form still involves processing your personal information in my mailbox. Please avoid including sensitive information or identifying other people unnecessarily in an initial enquiry.
Why do I use your information?
| Purpose | Lawful basis |
|---|---|
| Respond to an individual’s enquiry about services and deliver services agreed with them. | Taking steps at your request before a contract, or performing our contract. |
| Arrange organisation-sponsored coaching, programmes and events, and communicate with business contacts and participants. | Legitimate interests in organising and delivering the requested services, balanced against your rights. A contract with your employer is not automatically a contract with you. |
| Maintain required financial records. | Compliance with legal obligations. |
| Protect the website, manage complaints and establish or defend legal claims. | Legitimate interests in security, responsible business administration and resolving disputes; legal obligations where applicable. |
| Send optional marketing emails about coaching, programmes and resources. | Your consent, separate from your enquiry or coaching agreement. |
Confidentiality in coaching and team work
Before coaching begins, we agree the purpose, confidentiality boundaries and any reporting arrangements. When an organisation sponsors coaching, we agree what information may be reported to the sponsor. Sponsorship does not give the organisation unrestricted access to the content of your sessions.
Any necessary disclosure will follow the agreed arrangements and applicable law. In team or group sessions, other participants hear what you choose to share; we agree group confidentiality expectations, but I cannot guarantee another participant’s actions.
Coaching may involve sensitive information, such as health, racial or ethnic origin, or religious beliefs. Where processing this information is necessary, both an ordinary lawful basis and an additional legal condition are required. These arrangements will be explained separately before planned collection or recording; where explicit consent is used, it must be specific and can be withdrawn.
Marketing is your choice
Making an enquiry does not automatically subscribe you to marketing. You can choose to opt in separately. Choosing not to receive marketing does not affect your enquiry or services.
You can withdraw consent using the unsubscribe option in a marketing email or by emailing contact@iyareumweni.com. A minimal record of your opt-out may be retained so that your preference is respected. Replies to your enquiry and essential service messages are separate from marketing.
Who may receive your information?
The website is hosted by Hostinger and uses WordPress and website security plugins for its operation and protection. Microsoft 365 provides my email service. The enquiry form sends your message to my Microsoft mailbox through FluentSMTP; website email logs may contain the message and delivery details.
Authorised website support and these technology providers may process information to operate the website and deliver correspondence. Professional advisers and public authorities may receive information where necessary for advice, a legal obligation or a claim. If an engagement uses a separate meeting, scheduling, storage or payment service, I will identify it in the arrangements for that engagement.
Links to LinkedIn, Curious Learning and other external websites lead to services governed by their own privacy notices.
International transfers
My website is hosted by Hostinger, and I use Microsoft 365 for business email and correspondence. These providers may process personal information in the UK and other countries, depending on their infrastructure and service arrangements. Where personal information is transferred internationally, applicable data-protection requirements and appropriate safeguards will be observed. Further information about these arrangements is available on request. See Microsoft’s data-protection terms and Hostinger’s privacy policy.
How long is information kept?
I keep information for the purposes below, taking account of the engagement, legal obligations, insurance requirements and any unresolved complaint or claim. Mailbox records require review and deletion; these periods are not a promise of automatic deletion from every provider’s backup.
- Enquiries that do not lead to an engagement: up to 12 months after the last substantive contact.
- Coaching working notes: during the engagement and for as long as needed for agreed follow-up, professional obligations or a complaint or claim. Records are reviewed when an engagement ends, taking account of insurance requirements.
- Agreements, invoices and financial records: for applicable statutory record-keeping periods and any necessary period for resolving a complaint or legal claim. Routine delivery logs in FluentSMTP are configured for deletion after 14 days; this does not delete messages from the Microsoft mailbox.
- Marketing records: while your consent remains current and the information is needed. Consent evidence and minimal opt-out records may be retained afterwards where necessary to demonstrate compliance and respect your preferences.
Relevant records may need to be retained longer for an unresolved complaint, legal requirement or claim. Information no longer needed should be securely deleted or anonymised, with provider backup arrangements taken into account.
How is information protected?
The website uses HTTPS, the enquiry form checks a security nonce and a hidden spam field, and Microsoft email delivery uses an authenticated connection. Access to accounts and records is restricted to authorised users and service providers. No online transmission or storage system can be guaranteed completely secure.
Your rights
Depending on the circumstances, you can ask to access your information, correct inaccuracies, erase information, restrict its use or receive certain information in a portable format.
Your right to object
You can object to processing based on legitimate interests and object to direct marketing at any time. Email contact@iyareumweni.com.
You can withdraw consent without affecting the lawfulness of processing before withdrawal. Some rights have conditions or exceptions, including where records must be retained by law.
Send requests to contact@iyareumweni.com. No special form is required. Proportionate identity checks may be needed. The usual response deadline is one month, subject to the lawful timing rules and extensions that apply to the request.
You may raise a concern with me or complain to the Information Commissioner’s Office, the UK data protection regulator.
Information you need to provide
The enquiry form requires your name, email address and message so I can respond. Organisation details and marketing consent are optional. If information is needed to enter into or deliver a coaching agreement, I will explain that at the relevant point.
Changes to this notice
This notice will be reviewed when services, providers or processing practices change. The date will be updated and significant changes communicated where appropriate.

- The enquiry form sends information by email; it does not automatically add you to a marketing list.
- Optional marketing consent is recorded in the enquiry email with its date, source and wording.
- Any recording or transcription of a coaching session requires separate arrangements explained beforehand.
- Cookies and hosting arrangements will be reviewed as the website and its services change.
- Where a programme involves planned processing of sensitive information, I will explain the purpose and additional legal condition before collecting it.
